Booking a meeting room

Our libraries at Brighton and Sandringham have meeting and study spaces that you can access.

Conditions of meeting room use

  • The library may at its discretion, refuse to accept any application for use of any public meeting spaces 
  • Bookings must be made for use of the meeting room(s) 
  • Booking of meeting rooms requires a valid Bayside Libraries membership 
  • The room is available for organisations to book – subject to availability.
  • Priority is given to Library programs, Library-partnered events, Bayside City Council events and local community organisations.  
  • Bookings are for a maximum of 2 hours. Customers must vacate the space promptly by the end of their allotted time 
  • Rooms will be released for others to use after 15 minutes if the customer is not present 
  • We encourage customers to notify the library if they no longer need to use the booked space 
  • Limit of one booking per person, or group, per day, across all Bayside Library branches.
  • Duplicate bookings will be cancelled 
  • Room bookings may be made up to seven days in advance
  • The library reserves the right to review recurring use by any customers to ensure equitable access 
  • The library reserves the right to cancel a booking under special circumstances  
  • The library will not promote third party events in meeting and event spaces 
  • Customers may not advertise that their event is sponsored or supported by the library without prior written permission 
  • Maximum capacity for meeting rooms must not be exceeded 
  • Customers must adhere to the library conditions of entry and are responsible for any damage to library facilities or equipment 
  • Customers are welcome to have food and drink. The library is not a licensed venue, so no alcohol is permitted 
  • The space must be left in a clean and tidy state 
  • If the noise levels are louder than reasonable, you will be asked to vacate the rooms
